Job applications increasingly require scanned supporting documents — degree certificates, ID proof, experience letters, reference documents — and a poor-quality scan can genuinely slow down or complicate an application, even when the underlying document is perfectly valid.

Why scan quality actually matters here

Recruiters and HR systems often need to verify details directly from a scanned document — a certificate number, a date, a signature. A scan that's angled, poorly lit, or missing a corner can force a back-and-forth request for a better copy, which costs you time in a process where responsiveness often matters.

Get the whole document in frame, including edges

For official documents specifically, don't crop tightly around just the text — include the full page, including any border, seal, or watermark near the edges. Scan in colour when the original has colour elements

Combine related documents sensibly

If an application asks for "educational certificates" as one upload, a single multi-page PDF combining all relevant certificates in a logical order is usually easier for a recruiter to review than several separate single-page files with unclear names.

Scan001.pdf tells a recruiter nothing and looks careless among dozens of other applications. A clear filename — FirstName-LastName-Degree-Certificate.pdf — is a small detail that signals attention to detail before anyone has even opened the file.

Double-check legibility before submitting

Zoom into your scan at actual size — not just the app's preview thumbnail — and confirm every important detail (dates, numbers, names, signatures) is clearly readable. A document that looks fine at a glance can still have a blurry or glare-affected section covering exactly the detail someone needs to verify.

A final review checklist

  1. Full document in frame, including edges
  2. Colour scan for anything with seals, stamps or coloured text
  3. File size within typical upload limits
